Oversight and leadership · services 04 and 05

A clerk of works for your IT.

Anyone building a house often hires someone to check the builder on their behalf. On IT projects worth hundreds of thousands of crowns or more, that is still rare. We play that role for you: from the brief to sign-off, we watch scope, deadlines, quality and invoices.

When oversight pays off

  • You’re starting a project worth hundreds of thousands of crowns or more: a new system, a migration, an office move.
  • The project drags on and the invoices keep growing.
  • Management and the supplier speak different languages.
  • The supplier writes its own brief.
  • You don’t have an IT director.
  • You need someone who can say “we won’t accept this”.

Five stages, five checkpoints

We don’t run the project instead of the supplier. We make sure it delivers what you ordered, at the quality and price you agreed.

  1. Brief

We write down exactly what you need and how you will know it’s done.

  2. Selection

We compare proposals against the same criteria and help you choose.

  3. Design

We check the technical design before the build starts.

  4. Delivery

We watch deadlines, changes and extra work, and join the meetings with the supplier.

  5. Sign-off

We check that what was delivered matches the brief, and recommend accepting, refusing, or accepting with conditions.

What you get

Management knows where it stands

  • A short, regular update for management: status, risks, decisions
  • A sign-off recommendation at every checkpoint
  • A review of change requests and extra work
  • A list of open points, with who is responsible for each
What we don’t do

We’re not a second supplier

  • We don’t run the project instead of the supplier
  • We don’t write code or implement
  • We take no commission from the suppliers we assess

for the length of the change

What a part-time IT director does

  • Sits in management meetings and translates IT into business terms
  • Writes the one-to-three-year IT plan and budget, and keeps to them
  • Manages suppliers and contracts
  • Keeps security, continuity and AI under one roof
  • Helps you hire IT staff

For how long

For good, or only for a while: until you find your own IT director, say, or for the length of a big project. You can change the model as your business changes.

A typical situation

This is a typical situation, not a specific engagement. We describe what we would do and what you get.

Distributor · around 150 staff

The project that drags on

A new business system was meant to take six months. Deadlines slip, invoices grow, and management and the supplier speak different languages.

What we do

  • Review the status, the changes and the billing
  • Introduce checkpoints and acceptance criteria
  • Join the supplier meetings, on your side

What you get

A project under control, and a management team that knows where it stands and what it is paying for.

Questions

Won’t you end up arguing with our supplier?

We’re not there to argue. We help the supplier understand what you need, and we help you tell whether it delivered. Disputes are expensive for both sides, and a clear brief with checkpoints usually prevents them.

How is this different from the supplier’s project manager?

The supplier’s project manager runs the supplier’s work and answers to the supplier. We answer to you. We don’t run the project instead of them; we make sure it delivers what you ordered.

How often will you be on site?

That depends on the project stage and the model you choose. Most of the work is remote; we come in for meetings, workshops and sign-off. In and around Prague, elsewhere by arrangement.

Can you help us choose a supplier?

Yes. We write the brief, help you decide whom to approach and compare the proposals against the same criteria. We take no commission from suppliers.

How long does it last?

Project oversight lasts as long as the project. A part-time IT director can stay for good or only for a while. Both run on a monthly fee based on the number of days, from 29,000 Kč for two days a month, and you can change the model. We are not VAT-registered, so these prices are final.

What are your terms?

A fixed price means that if the agreed work takes longer, we carry it. You pay more only if you change the scope, and you always know beforehand. A monthly fee (part-time IT director, project oversight) runs for a first three months, then either side can end it with one month’s notice. Unused days carry over to the next month, then lapse. Holidays are announced in advance and the days moved; for a longer absence we arrange a stand-in from the network. In and around Prague we charge no travel; elsewhere we state it in the proposal beforehand.
